After the Exchange

You are back — congratulations! The paperwork might not be as fun as the exchange itself, but here is everything you need to do once you return.

Procedures vary from university to university. The guide below covers the general steps most returning students need to follow — always check with your own institution for specifics.

1

Procedure at the International Relations Office

You are obliged to provide the IRO with copies of the following documents:

Learning Agreement (LA)

An agreement on your study programme between your home and receiving university, signed by you and the Faculty Erasmus Coordinators of both universities. If you studied different modules than originally agreed, provide the amended LA — with all three signatures, most importantly from your home Faculty Coordinator. To get it signed, provide your coordinator with a copy of your Transcript of Records.

Transcript of Records (ToR)

An official document listing the modules you passed and the marks you received during your exchange. You should receive this from the receiving university after completing your exchange.

National ID Card or Passport

A copy of your valid identification document.

Certificate of Stay

A certificate confirming the length of your stay abroad, issued by the receiving university.

Once you complete the above formalities, you can expect the payment of the second tranche of your scholarship — if you were not paid the full amount before your exchange.
2

Procedure at your faculty or department

These steps are not obligatory at all faculties, but it is worth completing them to have your Erasmus+ modules included in your final certificate when you graduate.

Apply in writing to your dean — or other official responsible for your course — to have your Erasmus+ modules included in your curriculum. Include the list of modules with marks and your conversion to Bulgarian equivalents (a table works best), plus a copy of your ToR.

Once signed by the dean, bring your application to your Dean's Office where it will be added to your curriculum along with the Bulgarian grade equivalents.

3

Fill in the survey

Every returning student is required to complete a feedback survey through the National Agency of the Erasmus+ Programme in Bulgaria. The survey takes roughly 30 minutes and covers your experience during the exchange. Your feedback helps improve the programme for future students.
